Problems Beforehand

Background

Tell us why you implemented our system. We hold exhibitions four times a year and create line sheets for each exhibition.

We had been operating without an order format specified by our company, and each buyer sent us orders in a variety of ways, such as in their own format, directly by e-mail, or by fax.

Because of the different formats, management was very complicated, and we could not immediately see which buyers had placed orders and how much they had paid, so it took time just to check the status.

We were also looking for an online order system because there was a possibility that some buyers would not be able to come to our exhibitions due to the COVID. We decided to introduce DEXTRE because it had the necessary functions for our operation and the initial cost was zero yen to start with, and the running cost was also low.

After using DEXTRE

After introducing DEXTRE, buyers were first asked to limit their ordering methods to the online ordering system, which enabled us to centrally manage order data that had previously been received in various formats.

Since order information is reflected in real time, we are able to grasp order quantities and immediately check on buyers who have not yet placed orders, making order deadlines smoother, which is a big advantage.

The order tally can also be easily exported from the system to Excel, so there is no need to make major changes to our existing management methods, and the elimination of manual input work has reduced the possibility of errors, resulting in a significant improvement in productivity.

For buyers who are unable to visit our exhibitions, DEXTRE enables them to receive more accurate product information even without seeing the actual products, and although we were concerned about the effect of COVID, the number of orders from buyers who did not visit the exhibition did not decrease.

The system has been well received by buyers, and they appreciate that they can more easily understand product information.

On the other hand, I feel that buyers have more time to consider the information because they can examine it more closely. Many orders come in just before the order deadline.

We had some concerns when we introduced the system, but since product and image registration can be done in batches, it is easier than creating line sheets in Excel, and with the exception of photography, preparation can be done smoothly. If we have any questions about the operation of the system, we can immediately enquire by phone or e-mail, so we are able to use the system with peace of mind.

Demerits

Are there any areas where you feel there are disadvantages since the introduction of the system?

We now do studio photography because we need clearer images to present online.

Preparation for exhibitions has become more difficult. We are on a tight schedule before an exhibition, so it is difficult to find time to take pictures of samples in addition to the preparation we have been doing so far.

I believe that online orders will become the norm in the future.

We will have to schedule our preparations for exhibitions based on the assumption that we will have time for photo shoots, and we hope that changing our routine will help us to prepare better.

The images taken will actually be used in stores, etc., so if I had to put out a disadvantage, it would be in this area.

Upcoming features and hopes for the future

I have the opportunity to increase or decrease the color range of regular products, but it is difficult to find images that I have registered in the past, so I would like to see improvements in that area.

Other than that, I have no complaints at present. It has been a year and a half since I started using the system.

It has become an indispensable system for us.

It seems that various functions have been updated, but we have not been able to utilize them yet, so we would like to utilize DEXTRE’s functions more flexibly in the future to increase our productivity.
